Monthly Reports
A.S.A.P. generates and emails the 01 – 08 monthly reports (listed below) at the end of every month.
Each report highlights detailed information about the different aspects of the collection process, but together they give you a cohesive picture.
01 – BOARD PACKET OVERVIEW
A Board meeting ready packet including:
- A.S.A.P. General Notices and/or Messages Association General Information
- Board Decisions (Instruction Required)
- Board Action Items (Instruction Required)
- Board Resolutions Pending (Signature Required)
- Outstanding Invoices Summary, if any
02 – CASE SUMMARY
At-a-glance overview of all Open Cases:
- General Information & Case Status: Shows Pending Board Action items
- Property Information: Shows Lender Foreclosure activity, if any
- Personal Information: Shows Owner Bankruptcy information, if any
03 – INVOICE PACKET
At-a-glance Invoice Summary & Invoices:
- Invoice Summary: Lists invoices outstanding, if any
- Invoice(s): Individual invoices provide the details about the invoice including if it can be delayed OR must be paid in accordance with our contract
04 – FINANCIAL GRAPHS
A 12-month financial snapshot:
- Financial Graph shows the total amount disbursed to the Association each month covering a 12-month period
- Pie Chart shows the total number of Open Cases in each Stage of Collection and the amount due to the Association in each stage
A historical financial report: (Upon Request)
- The “Collection Report Card” shows all cases closed, the collection stage that they were closed in and how much A.S.A.P. disbursed to the Association. This historical data is essential in knowing what stage of collection the Association’s owners have paid.
05 – PAYMENTS COLLECTED REPORT
A “Treasurer’s Report" showing Payments Collected during the month:
- Property Address
- Owner Last Name
- Payment Amount
- Remaining balance due after payment is applied
- Collected Totals Detail
06 – OPEN CASE AGING REPORT
At-a-glance Overview of all Open Cases:
- Cases grouped by the Stage of Collection they are in as of the date of the report
- Each case shows last name, property address, case aging, and balance due
- Case totals show by category for Regular Assessments, Special Assessments, Late Fees, Other, Etc. and end with the total Account Balance
07 – MANAGER ACTION ITEMS
Open action items:
- Pending Action Items for the Manager
- Pending items are also shown on the 01 Board Packet
08 – DETAILED STATUS REPORTS
An all-inclusive report:
- Pulls data and details from the various status and financial reports
- Header is pulled in from the 02 Case Summary report
- Provides in-depth details on the case such as specific case activities, phone calls, emails, letters, etc.
